Unlike “traditional” venues, private estates take time to prep. You’ll likely need multiple days to load in rentals, set up the tent, style the décor, and add those magical finishing touches. Professional planners won’t try to do it all in eight hours, and neither should you!

Gabby’s Tip: Make sure someone (whether it’s the family, a groundskeeper, or a superhero neighbor) is in charge of lawn maintenance the week of your wedding. Trust me, there is nothing glamorous about setting up a ceremony arch in a shaggy pasture.

Guest Experience: From Parking to Peonies

Parking: Where Do We Even Put the Cars?

Let’s be honest, the last thing you want in your gorgeous wedding photos: a row of random sedans behind your altar. At this Nashville celebration, we made parking a priority by hiring attendants to direct cars (so nobody ends up in a cornfield) and kept vehicles tucked away from the action.

Pro tip: If the natural landscape is sprawling, consider shuttle options or golf carts…your guests’ high heels will thank you.

Shuttle Service: Golf Carts are the Real MVPs

If your ceremony spot is a trek from the house or tent, make it fun (and comfortable)! We used golf carts to shuttle guests across the estate. It’s cute, it’s practical, and it keeps Great Aunt Mildred from melting before she even gets to the vows.

Lighting: When the Sun Goes Down, Don’t Be Left in the Dark

Nature doesn’t come with a dimmer switch, y’all. Once the sun sets over that pretty field, you’ll need to light the way. Invest in ambiance with string lights, lanterns, and spotlights. Not just around the tent, but also on walkways and restrooms. Safety first! 

Gabby’s Real Talk: Even for set-up and tear-down, someone’s gotta see! I always keep a few headlamps in my wedding kit just for those late-night load-outs—glamorous? Eh. Essential? 100%.

Power & Restrooms: The Not-So-Fun but SO IMPORTANT

Private property = no built-in bathrooms and no unlimited outlets. You’ll need to rent generators and luxury portable restrooms for your guests. (Keyword here is luxury—your guests deserve more than a plastic porta-potty!) If your caterer is running an extension cord from the barn, you probably need another generator. 

Bonus points for open fire caterers like Rambler Events: they don’t need much electrical power, and they double as entertainment! Guests get to see their dinner cooked right in front of them, and you won’t have to panic over blown circuits.

Here’s your mantra: always. have. a. tent. Even the sunniest forecast can turn south, and nobody wants soggy vows. For this estate wedding, we used a dreamy sailcloth tent (my personal favorite!). The soft curves blend beautifully into the scenery and the natural light is chef’s kiss for photos.

For this celebration, we leaned into playful, summery colors: pale blue linens paired with bold pops of orange on the napkins (major Mediterranean vibes, y’all!). The florals, perfectly curated by Echoes of Eden, were a whimsical mix of local blooms, ikebana-inspired arrangements, and even real citrus and pomegranate fruits on the tables.
